Job Description
The County Government of Kericho is seeking to recruit a highly organized, detail-oriented, and motivated Human Resource Assistant to support the daily operations of the Human Resource Department on a contract basis. Key Responsibilities
- Compile, organize, and maintain accurate statistical records relating to human resource activities.
- Sort incoming correspondence and ensure timely distribution to relevant offices.
- Register, classify, and dispatch official letters according to established administrative procedures.
- Maintain an efficient manual and electronic filing system for personnel records.
- Ensure employee files remain complete, accurate, confidential, and properly indexed.
- Assist in processing staff appointments in accordance with approved procedures.
- Support documentation for promotions, confirmations, transfers, and deployments.
- Prepare documentation relating to disciplinary matters while maintaining confidentiality.
- Update personnel databases with accurate employment information.
- Compile routine administrative reports for departmental review.
- Prepare payment vouchers and supporting documentation for processing.
- Assist in compiling payroll-related information where required.
- Collect, verify, and organize financial or statistical information for reporting purposes.
- Draft routine official letters, memos, acknowledgements, and internal correspondence.
- Maintain accurate registers for incoming and outgoing documents.
- Support recruitment activities by organizing applicant records and interview documentation.
- Assist in scheduling meetings, interviews, and departmental appointments.
- Prepare meeting files, attendance registers, and supporting materials.
- Record minutes during meetings whenever assigned.
- Retrieve archived records promptly upon request.
- Monitor office stationery and recommend replenishment when necessary.
- Maintain confidentiality of employee information and official documents.
- Ensure compliance with government administrative procedures and record management standards.
- Support onboarding activities for newly appointed employees.
- Assist in preparing employment documentation for successful candidates.
- Respond professionally to routine inquiries from employees and visitors.
- Organize office records for easy retrieval and secure storage.
- Verify the completeness of personnel documentation before filing.
- Assist with data entry and record validation exercises.
- Support departmental audits by preparing requested documentation.
- Maintain proper custody of official records and files.
- Prepare summaries of routine administrative information.
- Ensure accurate filing of leave, training, and personnel documents.
- Coordinate document movement between departments.
- Assist in updating employee information whenever changes occur.
- Support implementation of HR administrative projects.
- Perform routine office administrative duties as assigned by supervisors.
- Promote professionalism, integrity, accountability, and teamwork at all times.
- Observe confidentiality and data protection requirements when handling employee information.
- Ensure assigned tasks are completed accurately within required timelines.
- Perform any other lawful administrative duties assigned by the Human Resource Department.
Qualifications & Requirements
- Applicants should possess a Kenya Certificate of Secondary Education (KCSE) with a minimum mean grade of C
- (Minus) or an equivalent qualification recognized in Kenya. Candidates must also hold a Certificate in Computer Applications from a recognized institution and demonstrate proficiency in Microsoft Word, Excel, PowerPoint, email communication, and other common office applications. Strong organizational and record management skills are essential together with excellent written and verbal communication abilities. Applicants should be capable of handling confidential information with integrity, maintaining accuracy while processing records, and working effectively under minimal supervision.
